Connect the address your customers already write to, such as [email protected]. Each email becomes a conversation, and replies from your team or Texa AI go back from the same address, in the same thread.
Gmail and Google Workspace
- Go to Settings → Inboxes → Add inbox → Email, and choose Google.
- Enter the email address and choose Sign in with Google.
- Sign in to that mailbox and allow Texa Desk to read and send its email.
- Back in Texa Desk, finish the inbox and choose who answers it.
Texa Desk only uses your mail to show it in your inbox and send your replies. It never uses it for anything else, as Google’s Limited Use rules require.
Any other mailbox
For mail hosted elsewhere, such as your web host, Zoho Mail or a company mail server, choose Other providers, then enter the mailbox’s settings. Your email host can give you these:
- IMAP (to receive): the server, port, your email address and password, and whether it uses SSL.
- SMTP (to send): the server, port, your email address and password, and the encryption.
Signing in with Microsoft for Outlook and Microsoft 365 isn’t available yet. If your mail is on Microsoft, chat with us and we’ll help you connect it.
What happens to each email
- Replies thread properly. Your answer arrives as “Re:” the customer’s subject, in the same thread, and their follow-up joins the same conversation.
- Quotes and signatures are left out of what Texa AI reads, so it answers the new words only.
- Attachments are read. Texa AI can read a PDF or a photo of a receipt and use it in its answer.
- Automatic emails are skipped. Newsletters and automatic notices get the label
automatic-emailand a note, and nobody replies to them.
A tip
The inbox’s name appears as the sender, so name it after your business, for example “Ada Foods”.
