Security and sign-in

Protect your account with two-factor authentication, let your team sign in with Microsoft Entra ID, Google Workspace or SAML, and see every change in the audit log.

Two-factor authentication

Two-factor authentication asks for a code from an app on your phone as well as your password.

  1. Choose your picture at the bottom of the menu, then Profile settings, and open two-factor authentication.
  2. Choose Enable Two-Factor authentication.
  3. Scan the QR code with Google Authenticator, Authy or any TOTP app.
  4. Enter the 6-digit code it shows and choose Verify & Continue.
  5. Save your backup codes somewhere safe. Each one signs you in once if you lose your phone.

We recommend it for everyone, and especially for Owners and Administrators.

Single sign-on

Single sign-on lets your team sign in to Texa Desk with your organisation’s own accounts. Go to Settings → Security → Single sign-on.

  1. Choose the Identity provider: Microsoft Entra ID, Google Workspace or Another provider (SAML 2.0).
  2. Enter what your provider gives you:
    • Microsoft Entra ID: the Directory (tenant) ID, Client ID and Client secret. In the app registration’s Token configuration, add the optional claims email and xms_edov to the ID token.
    • Google Workspace: the Client ID and Client secret.
    • SAML: the identity provider’s entity ID, sign-in URL and signing certificate.
  3. Register the Redirect URI, or for SAML the reply URL and metadata, with your provider.
  4. Under Email domains, list your work domains, one per line. Only people whose work email is on these domains sign in this way. For SAML, prove each domain with a DNS TXT record, then choose Check DNS. DNS changes can take an hour.
  5. Set the sign-in rules: for example, whether passwords stay allowed while you switch over.
  6. Switch it on once the provider is set up, and choose Save.

People then choose Login via SSO on the sign-in page. To go back to passwords, choose Remove single sign-on.

Single sign-on is part of Enterprise. Talk to us before you set it up.

The audit log

Settings → Audit logs lists every sign-in and every change in Texa Desk’s settings: who did it, what they changed and when. For example, “Ifeoma created a canned response”. Changes made in Texa AI are in Texa AI → Safety → Changes.

Passwords

Change your password from Profile settings. If you forget it, choose Forgot your password? on the sign-in page, and we email you a link.
